Overview

We are in search of a dynamic Conference Producer to join our team. This role is crucial in orchestrating our recruitment conferences aimed at enlightening businesses about the recruitment landscape in Malaysia. As the linchpin of these events, you will take charge from conceptualization to execution, ensuring every conference is informative, engaging, and seamlessly organized. If you are someone who can merge a deep understanding of recruitment with exceptional event management skills, then this role is for you.

Responsibilities (included but not limited to):

  • Pre-Event Planning: Collaborate with event planners and stakeholders to understand event objectives, requirements, and expectations, develop event plans, timelines, and budgets, negotiate vendor contracts, and ensure resource availability while conducting site visits to evaluate potential event locations.
  • Logistics Management: Manage event setup, decorations, seating arrangements, and signage, coordinate timely vendor deliveries, and establish contingency plans for logistical issues or emergencies.
  • On-Site Execution: Supervise event space setup, coordinate event staff, and manage attendee check-in while ensuring the smooth flow of sessions and activities.
  • Client and Stakeholder Communication: Maintain regular communication with clients, stakeholders, and vendors, ensuring all parties are well-informed about event logistics and changes.
  • Post-Event Activities: Evaluate event success, analyze data, and create comprehensive post-event reports to identify areas for improvement.
  • Budget Management: Monitor event budgets, track expenses, and manage financial documentation to ensure adherence to allocated limits.
  • Problem Solving: Address unexpected issues or challenges during the event, making quick decisions to resolve problems and minimize disruptions.

Requirements:

  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
  • 1-3 years of experience in event planning and execution.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in event management software and Microsoft Office applications.
  • Creative thinking and problem-solving skills.
  • Ability to work under pressure and adapt to changing circumstances.
  • Willingness to work irregular hours, including evenings and weekends, as required for events.
