Overview

An event producer plays a crucial role in overseeing all aspects of event planning and execution to ensure a successful, productive and memorable event. The role requires a combination of project management skills, creativity, attention to detail, and the ability to work well under pressure. The successful candidate should be able to plan events as viable to launch focusing on daily, monthly and yearly projections with an emphasis over cost, venue and other related scopes

Responsibilities (included but not limited to):

  • Event Planning: Collaborating with clients or stakeholders (internal and external) to understand their objectives and requirements for the event. Developing event concepts, themes, and strategies to meet those goals. Creating event timelines and schedules.
  • Budget Management: Developing and managing event budgets. Identifying costs for venues, vendors, production, marketing, and other event-related expenses. Monitoring expenses throughout the planning process to ensure the event stays within budget and updates done to all relevant stakeholders in a timely manner.
  • Venue Selection and Management: Researching and selecting appropriate venues based on the event requirements and budget. Negotiating contracts and coordinating logistics with venue staff. Overseeing venue setup, including floor plans, seating arrangements, and technical setups.
  • Vendor and Supplier Coordination: Sourcing and managing various event vendors and suppliers, such as caterers, audiovisual companies, decorators, transportation services, and security personnel. Obtaining quotes, negotiating contracts, and
    coordinating their services.
  • Event Marketing and Promotion: Collaborating with marketing teams to develop event promotion strategies. Creating marketing materials, such as event websites, social media campaigns, and printed materials. Coordinating media partnerships and public relations efforts.
  • Event Production: Overseeing the overall production of the event, including staging, lighting, sound, and audiovisual elements. Coordinating technical rehearsals and ensuring all production aspects are in place for a successful event.
  • On-site Event Management: Managing event logistics on the day of the event. Coordinating with vendors, staff, and volunteers to ensure smooth execution. Handling any issues or emergencies that may arise during the event.
  • Post-Event Evaluation: Conducting post-event evaluations and analysis to measure the success of the event. Gathering feedback from attendees, clients, and stakeholders. Identifying areas for improvement and making recommendations for future events.

Requirements:

  • A degree in event management, hospitality, marketing, communications, or a related field. Relevant experience or certifications in event planning can be advantageous.
  • More than 5 years of experience in the events and exhibitions industry.
  • Strong organizational and time management skills to handle multiple tasks and meet deadlines.
  • Excellent communication skills, both verbal and written, to effectively interact with team members, clients, and vendors.
  • Attention to detail and ability to work with precision in planning and executing events.
  • Basic financial and budgeting skills to assist in managing event finances.
  • Proficiency in computer applications such as spreadsheets, word processing, and presentation software.
  • Familiarity with event management software or online registration platforms is a plus.
  • Creativity and problem-solving abilities to handle unexpected challenges.
  • Ability to work well in a team environment and collaborate with diverse individuals.
  • Flexibility and adaptability to handle changing event requirements and work under pressure.
